Author Guidelines

 

           The journal aims to promote ultrasound diagnosis by publishing papers on fundamental and clinical research, scientific reviews, clinical case reports, progress in ultrasound physics or in the field of medical technology and equipment, as well as educational papers, special reports and letters to the editor.

            The journal is published quarterly. Only papers in English are considered for publication.  

            The official journal title abbreviation is Med Ultrason.

1. Copyright

            By submitting a scientific paper to Medical Ultrasonography, the authors implicitly agree with the following:

• the paper is original and has not been published in other journals or books;

• the paper has not been sent and / or is not under consideration for publication elsewhere;

• all authors agree upon the publication of the submitted form of the paper.

           The filled in, signed and scanned images of the statements must be uploaded in the last step of the submission process (Step 4. Uploading Supplementary Files).

            If the paper is accepted for publication, the copyright is transferred to Medical Ultrasonography and the "Iuliu Hatieganu" Medical Publishing House, as agreed by signing the submission letter.

The authors take over the whole responsibility for the scientific content and originality of the paper; Medical Ultrasonography assumes no responsibility in this respect, whatsoever.

 

2. Preparing the manuscript

2.1 General

a. Style & language.

The manuscripts shall be prepared according to the style of the journal. They will be written in concise and grammatically accurate US English. Authors should ask for assistance if not writing in their native language.

Papers not conforming to the style of the journal, , written in inappropriate English, or not submitted strictly according to the journal guidelines will not be included in the editorial and reviewing process.

If the editorial board deems that an English language revision is necessary, this may be offered as a paid service by the Journal or the authors may tend this by themselves.

b. Text and page layout.

            The papers submitted for publication must be written in MS Word, font Times New Roman 12p, 1.5 line spacing. Page size is A4, all margins of 2.54 cm. Page numbering must begin with the title page. No numbering of the lines is needed.

c. Text length, abbreviations and measurement units

            The length of manuscripts, in words, will not exceed: 5000 for original papers, 6000 for reviews, 2000 for pictorial essays, 1500 for case reports, 600 for letters to the editor (all including the abstract, keywords, references, captions for figures and tables). For letter to the editor only one image or table is accepted.

            The editors reserve the right of condensing any paper submitted.

            Use only standard abbreviations. Avoid abbreviations in the title and abstract. Explain every abbreviation before using it.

            Measurements of length, height, weight, and volume should be reported in metric units. All hematological and clinical chemistry measurements should be reported in the metric system in terms of the International System of Units (SI)

d. Images and tables.

            Images (figures) and tables should be grouped in a distinct section. They must be numbered according to the order in which they appear in the text- the images (figures) in Arabic numerals (ex. fig 1) and the tables in Roman numerals (ex. tab I). Do not send images or tables in the .PDF format!

            The captions for figures (images) must be typed on a separate page entitled "Captions for figures". Each table must have a title. Images or tables should not be included in the text; the desired location for insertion should be indicated by a paragraph, such as: (location for figure no….) or (location for table no…)

            Only high quality images will be accepted for publication. File formats: BMP or TIFF for images, 300 dpi, image width 8 cm (single column) or 16 cm (double column); for color images color mode should be CMYK.

            The tables (design: Table Grid) will be included at the end of the main MS Word document (see below).

            If reproduction of previously published images is intended, it is necessary to attach the written consent of the author and of the copyright holder. All prospective or experimental papers involving human subjects or animals must include the agreement granted by the medical ethics commission of the institution where the research was conducted.

            If the manuscript reports medical research involving human subjects, authors must include a statement confirming that informed consent was obtained from all subjects, according to the World Medical Association Declaration of Helsinki, revised in 2000, Edinburgh.

 

3. Structure of the manuscript submission files

            The submission process consists of five steps:

  1. Start
  2. Upload submission
  3. Enter metadata
  4. Upload supplementary files
  5. Confirmation

 

The manuscript will be submitted in the following form:

a) in step 2 of the submission process, the MS Word document (the original file) that is uploaded must include the following: title of the manuscript, abstract and keywords, main manuscript, references, tables, captions. Do not insert here the name of the authors and affiliation.

b) in step 4 of the submission process the supplementary files that must be uploaded are: title page, images, submission letter, declaration of conflict of interest and any extra documents such as the consent of reproduction of previously published images..

            The Title page includes: title of the paper, full names of the authors, department and institution(s) where the study was conducted, postal code, city, district, phone and/or fax number and/or e-mail address for contacting the first author and corresponding author, full postal address for correspondence and ordering reprints.

            The Abstract (on a separate page) is preceding the text body.

For original papers, abstracts should not exceed 250 words and should have the following structure: 1) aims; 2) material and methods; 3) results; 4) conclusions.

The abstracts for literature reviews and educational papers should not exceed 200 words.

For case reports, the abstract must not exceed 120 words and must underline the following: 1) purpose of the presentation; 2) peculiarities of the case.    

            Three to five keywords must be selected for every paper from the Index Medicus (http://www.ncbi.nlm.nih.gov/sites/entrez?db=mesh); the key words should be inserted after the abstract and separated by semi-colon (term1; term2; term3).

            The main document must be structured as follows:

            Introduction – should define the topic of the paper and present the status of current knowledge in the field.

            Material and methods – should describe the equipment employed, the group of patients studied and the methodology. We recommend specification of the type of ultrasound equipment employed. The statistical analysis methodology used must also be described.

            Results – should present the obtained data, in a concise manner, preferably in tables and diagrams.

            Discussions – should present the interpretation of the researcher’s results from the perspective of relevant literature data.

            Conclusions of the paper must be clearly stated in the end.

            Acknowledgements - should be made only to those who have made a substantial contribution to the study

            References must include only papers that are quoted in the text and that have been published. References must be numbered in Arabic numerals in the order in which they appear in the text (where they should be inserted between square brackets [ ]) and listed in numerical order. Titles of medical journals must be abbreviated according to the Index Medicus. All authors must be quoted for an article, if they are up to six. Over seven authors, only the first three will be quoted, followed by the "et al" indication. References should be listed according to the following format (examples):

a) Article: Ignee A, Straub B, Schuessler G, Dietrich CF. Contrast enhanced ultrasound of renal masses. World J Radiol 2010;2:15-31.

b) Papers published only with DOI numbers: Guerriero S, Alcazar JL, Pascual MA, Ajossa S, Olartecoechea B, Hereter L. The pre-operative diagnosis of metastatic ovarian tumors is related to the origin of the primary tumor. Ultrasound Obstet Gynecol 2011, doi: 10.1002/uog.10120.

c) Book: Wakefield RJ, D’Agostino MA (eds). Essential applications of musculoskeletal ultrasound in rheumatology. Saunders Elsevier, 2010.

d) Book chapter: Ptasznik R. Sonography of the Shoulder. In: van Holsbeek MT, Introcaso JH (eds). Musculoskeletal Ultrasound, 2nd Edition, Mosby, 2001:463-516.    

            Tables should be added at the end of the main document, in the same MS Word document.

 4. Editorial policy

           All papers accepted in the editorial process of Medical Ultrasonography are assessed by independant peer reviewers. The editor-in-chief or one of the editors evaluates each manuscript and, decides upon the priority level (sent to review, rejected without being sent for review or returned to authors with suggestions for improvement before submitting to review). The editors reserve the right to request any changes they may consider appropriate, in the title, structure or body of the paper.

            The papers are submitted for blinded review to two reviewers with expertise in ultrasonography. Based on the reviewers' recommendations, the editors decide whether a paper is published or not. In case of marked discrepancy between the decisions of the two reviewers, the editor may send the manuscript to another arbitrator for additional comments and a recommended decision. Failure of the authors to comply with the editorial revision requests may induce publication rejection. The editorial board reserves the right to reject the publication of any material, at any time.

            A 50 euro processing fee is charged for each accepted paper (100 euro for the manuscripts accepted after 2017 January 1st). The fee must be paid ahead of publication, at the time when the authors give the authorization for publication of the final proof. Instructions for online payment are available on the journal site.  No free reprints of the published paper are supplied. Additional reprints may be ordered at a charge of 5 euro each.

 5. Submitting manuscripts for publication

            To submit a manuscript for publication, one author should register on our website, and follow the five steps of the submission process. The journal does not accept email or CD submissions of papers.      

            Medical Ultrasonography cannot be held responsible for losing or damaging the files delivered through the Internet.

 

Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.

  1. The submission has not been previously publishednor is it under consideration  for being published in another journal .

  2. The manuscript file is in MS Word format 2003 or 2007 (.doc, not as PDF format, nor .docx). The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines, which is found in About the Journal section of the site.
  3. The manuscript (without authors and affiliation) will be uploaded in step 2 of the process. All the other files (title page-with authors and affiliation, images, submission letter and Declaration of Conflict of Interest) will be uploaded in step 4 of submission process.

  4. Image formats: TIFF or BMP files; - resolution: 300 dpi; image width 8 cm (single column) or 16 cm (double column) - for color images, color mode should be CMYK; the image files must be named (e.g. Fig_1) and uploaded in the last step of the submission proces (Step 4. Uploading Supplementary Files) (do not insert images within Word documents!).
  5. Please make sure you have downloaded the Submission Letter and the Declaration of Conflict of Interest. In order to submit the paper all authors have to agree with the content of the manuscript, and to sign it. The scanned images of these two documents must to be uploaded in the last step of the submission process (Step 4. Uploading Supplementary Files).

The data collected from registered and non-registered users of this journal falls within the scope of the standard functioning of peer-reviewed journals. What we collect

We may collect the following information:

  • When a user creates an account on the website: first name, last name, username, email address, and password (encrypted) - that are required.

  • When a manuscript is submitted to a PKP application, contributor information is
    included. Contributors can be authors, translators, volume editors, and so on.
    This information is stored as submission metadata and is provided as part of
    any published manuscript record. Only the first name, last name, email address and country fields are required.
  • Other information that is not mandatory, only if it is provided by the user (Salutation, Middle name, Suffix, Gender, ORCiD ID, Website, Mailing Address, Country, Phone, Fax, Affiliation, Biography, Registration date, Last login date, Locales, Reviewing interests, Role registrations (author, reader, and/or reviewer)), while creating an account, or while submitting a manuscript.

  • The website tracks workflow information, mostly as submission-specific
    editorial history. The system tracks:All actions taken on a submission, and by whom; All notifications sent regarding a submission (including who sent and
    received the notification); All reviewer recommendations; All editorial decisions; All files uploaded as part of the submission process, including files that may have personally identifying information in the form of file metadata or in the files themselves.
  • General visitor information: Cookie information, to manage session history. Optionally, detailed usage log data, including: IP address; pages visited; date visited; and browser information, in application log files. Optionally, country, region and city information, in the metrics database. Other data may be tracked, either on the server or via third parties: Script loads from CDN servers; IP address information (including date, browser, etc.) in web server logs (separate from application log files as part of the Usage Statistics plugin).

What we do with the information we gather

We require this information to understand your needs and provide you with a better service, and in particular for the following reasons:

  • Internal record keeping.

  • We may use the information to improve our products and services.

  • Information from the user registration. This information is available to the user via their User Profile (and, with the exception of the username and dates, can be edited). System administrators, journal managers, and editors can also access and edit this data (except the username and dates) via the application back end. The data is not otherwise publicly available.
  • Information about submissions of mauscripts. This information is available to almost any submission participant, with some restrictions to preserve the blind peer review process. In short: contributing authors, editors and editorial assistants can all see this data; in most cases, only editorial staff can edit this data after submission. Most importantly: once a submission has been published, this data is made publicly available online in a variety of ways. It is available on the submission home page to readers, is available to indexing services in underlying metadata tags, is available via an OAI-PMH endpoint for harvesting, and may be made available in any number of ways via other system plugins.
  • Information about workflow. Submission participants have access to different amounts of workflow data depending on their role. Journal managers and editors can access all submission data; section editors and editorial assistants can access all submission data only for those submissions to which they have been assigned;
    authors have limited access to their own submissions and are only able to see 10the data they have supplied, or that editorial staff have explicitly made available to them.
  • We may from time to time send emails regarding new issues being published, information about the submission or editorial process, or other information regarding website activity, as well as promotional emailsabout new products, special offers or other information which we think you may find interesting using the email address which you have provided, in accordance with the current regulations, being understood that the person concerned has the right to object to this use at any time.

  • Additional information (such as domain names, IP addresses and browser types), detected through our website, are used to track traffic statistics.

  • The data will be processed only by those with the authority to do so, nominated by the owner to deal with relationships with clients. In no way shall they be circulated or disclosed to third parties, either national or international.

  • The data will be stored in a form that allows the identification of the person concerned for a period not exceeding that necessary to fulfill the purposes for which they were collected.
